Executive Assistant to CEO
PlaneSmart! Aviation is a growing private aviation company (Part 91/135 flight operations) with a fast pace, high standards, and a “figure it out and make it better” culture. We’re hiring an Executive Assistant to work directly with our Chief Executive—someone sharp, organized, and people-savvy who can help keep priorities moving, communication clean, and operations running smoothly.
This is a great role for a senior or recent grad who wants real business exposure across departments including operations, accounting, sales, marketing, maintenance, etc.
What you’ll do
Own the CEO’s daily flow: calendar management, scheduling, reminders, prep materials, and follow-ups
Be the connector: coordinate across departments (charter sales, flight ops, maintenance, accounting, HR/recruiting, and customer experience) to keep projects on track
Turn chaos into clarity: organize information, track action items, and make sure commitments don’t vanish into the void
Help run effective meetings: build agendas, capture notes, assign next steps, and push updates until things are done
Support executive communication: draft emails, coordinate internal announcements, and keep stakeholders aligned
Hospitality & client support (when needed): assist with occasional VIP/client coordination—greeting, logistics, light event support, and making people feel taken care of
Process improvement: identify friction points and help standardize workflows (templates, checklists, simple SOPs)
What we’re looking for
Bachelor’s degree (4-year) in Business, Management, Marketing, Communications, Aviation Business, or similar
Aviation concentration is a plus (not required)
Strong organization skills and attention to detail (you catch things before they become fires)
Professional communication style—confident, friendly, and clear
Comfortable juggling multiple priorities and switching gears quickly
High discretion and good judgment
Tech comfortable: Microsoft Office, Adobe Acrobat Pro, Cloud Based Data Storage and Information Systems
Willingness to learn aviation terms, how departments interact, and how decisions get executed
